LogistiServ LLC ("LogistiServ," "we," "us," or "our") provides trucking compliance and carrier services, including business formation, licensing, motor carrier operating authority, state permits, IFTA and IRP filings, IRS Form 2290 preparation, DOT drug and alcohol testing program administration (C/TPA services), and USDOT compliance assistance. This Privacy Policy explains how we collect, use, protect, and share information when you visit our website at www.logistiserv.org (the "Site") or use our services.
1. Our Core Commitments
- We never sell your information. We do not sell, rent, trade, or otherwise disclose your personal or business information to advertisers, data brokers, marketers, or any other third party for their own commercial use.
- We use your information only to serve you. Information you provide is used solely to deliver the services you request, to comply with legal obligations, and to communicate with you about your account and filings.
- We treat your information as confidential. Access is limited to personnel who need it to perform your services.
2. Information We Collect
Depending on the services you request, we may collect:
- Contact and business information: name, company name, mailing address, email address, phone number, and business details.
- Regulatory and filing information: USDOT and MC numbers, Employer Identification Numbers (EIN), Social Security Numbers where required on government filings, vehicle identification numbers (VIN), vehicle weights and registration details, mileage and fuel records for IFTA/IRP, and related compliance records.
- Payment information: bank routing and account numbers you provide for IRS tax drafts (such as Form 2290 payments), and payment card information for our agency service fees.
- Driver qualification documents: documents you or your drivers upload so we can build and maintain driver qualification files — including driver's licenses and CDLs, DOT medical examiner's certificates, motor vehicle records (MVRs) obtained from state driving records, employment applications, road test certificates, accident reports, and Clearinghouse query results.
- Drug and alcohol testing program information: records we administer as a Consortium/Third-Party Administrator (C/TPA) under U.S. Department of Transportation regulations.
- Website information: standard server logs (IP address, browser type, pages visited) collected by our hosting provider, and information you submit through forms on the Site.
3. How We Use Information
- To prepare and submit filings and applications on your behalf to the IRS, FMCSA, state agencies, and other government bodies as you direct.
- To administer DOT drug and alcohol testing programs you enroll in.
- To process payments for government fees and our service fees.
- To communicate with you about deadlines, filings, renewals, and the status of your services.
- To read and classify documents you upload. When a document is uploaded to the portal, its contents are sent to a third-party artificial intelligence provider that reads it automatically — for example, to identify that a file is a medical certificate and to read its expiration date so we can track it. See Section 4.
- To maintain records as required by law and professional standards.
- To improve our website and services.
4. How We Share Information
We share information only as follows:
- Government agencies: with the IRS, FMCSA, U.S. DOT, and state agencies as necessary to perform the services you request (for example, submitting your Form 2290 or permit applications).
- Service providers: with vendors who help us operate, and only to the extent needed for the purpose described. We do not authorize any vendor to use your information for its own purposes. These are the categories of vendor we use and what each one receives:
- Website hosting and data storage — hosting the Site, running our application, and storing your records.
- Automated document reading — an artificial intelligence provider that receives the contents of documents uploaded to the portal, including driver qualification documents such as licenses, medical certificates, and motor vehicle records, in order to read and classify them as described in Section 3.
- Email delivery — a provider that delivers the notices, reminders, and messages we send you, and which receives the recipient's name and email address and the contents of those messages.
- Address verification — the U.S. Postal Service, which receives a street address, city, state, and ZIP code in order to confirm the address is deliverable and to standardize it. Names are not sent.
- Address lookup while typing — a mapping and geocoding provider that receives an address as it is being typed into our staff tools, in order to suggest matching street addresses. Only the address text typed into that field is sent; no name or other record is sent with it.
- Payment and billing — our billing and invoicing provider, for our agency service fees.
- Tax filing transmission — an IRS-authorized e-file transmitter, which receives the information reported on your Form 2290 return in order to submit it to the IRS. See Section 5.
- Drug and alcohol testing — testing laboratories, collection sites, and medical review officers, in connection with DOT testing programs. See Section 6.
- Legal requirements: when required by law, regulation, subpoena, or court order, or to protect our legal rights.
- With your direction or consent: when you ask us to share information with a third party.
We do not share your information with anyone else, and we never sell it. If we begin using a category of service provider not listed above, we will update this page before doing so.
5. Tax Return Information
Tax return information we receive in connection with preparing federal tax filings (such as IRS Form 2290) is used and disclosed only as permitted by federal law, including Internal Revenue Code Section 7216 and related regulations. We do not use your tax return information for purposes unrelated to preparing and filing your returns without your written consent.
6. Drug and Alcohol Testing Records
Records related to DOT drug and alcohol testing programs are maintained and disclosed in accordance with U.S. Department of Transportation regulations (49 CFR Part 40 and related rules), which strictly limit who may receive this information. We release such records only as authorized by those regulations or with the written consent of the individual, where required.
7. How We Protect Information
- Our website is served over an encrypted (HTTPS/TLS) connection.
- Sensitive client records are stored in access-controlled systems limited to authorized personnel.
- We retain records only as long as needed to provide services and meet legal and regulatory retention requirements, after which they are securely disposed of.
No method of transmission or storage is 100% secure, but we work to protect your information using reasonable administrative, technical, and physical safeguards appropriate to its sensitivity.
8. Cookies and Third-Party Services on Our Website
- Our Site does not use advertising cookies or trackers, and we do not serve third-party advertising.
- The Site includes an embedded Google Map to show our office location. Google may collect information in connection with the map under Google's Privacy Policy.
- Our hosting provider collects standard technical logs needed to operate and secure the Site.
9. Your Choices and Rights
- You may request access to, or correction of, the information we hold about you or your business by contacting us using the details below.
- You may request deletion of information, subject to our legal and regulatory obligations to retain certain records (for example, tax filing and DOT testing records have mandated retention periods).
- You may opt out of non-essential communications at any time; we will still send communications necessary to perform your services.
10. Children's Privacy
Our website and services are intended for businesses and adults. We do not knowingly collect information from children under 13, and our services are not directed to them.

We may update this Privacy Policy from time to time. The "Effective date" above reflects the latest revision. Material changes will be posted on this page, and where appropriate, we will notify active clients directly.
